Terms & Conditions of Athletically-Related Aid
All student-athletes on athletics aid/scholarship receive their scholarship for one year. Each academic year, student-athletes must sign an agreement acknowledging the acceptance of their athletics aid.
Renewals/Reductions/Cancellations of Athletics Aid
The renewal of institutional financial aid must be made on or before July 1 prior to the academic year in which the aid will be distributed. Student-athletes receiving an athletics scholarship during the previous year will be notified as to whether their aid has been renewed, reduced, or cancelled. Athletics aid granted by an NCAA institution may not be awarded for a period of more than one year. At the end of each academic year, aid may be renewed, increased, reduced, or cancelled at the discretion of the institution. Athletics scholarships may be reduced or canceled during the period of the award if a student-athlete:
- Renders himself or herself ineligible for intercollegiate competition in any manner, including failure to meet academic eligibility requirements or loss of amateur status (e.g., signing with an agent).
- Voluntarily quits the team.
- Fraudulently misrepresents any information on an application, letter of intent, or financial aid agreement.
- Engages in serious misconduct.
Athletics scholarships may not be reduced or cancelled during the period of the award on the basis of:
- A student-athlete's athletics ability, performance, or contribution to a team's success.
- An injury that prevents the student-athlete from participating in intercollegiate athletics.
- Any other athletics reason.
Please note that outside of the period of the award, an athletics scholarship can be reduced or cancelled for any reason - including an athletics reason - at the discretion of the institution.
If a student-athlete's scholarship is cancelled, reduced, or not renewed for any reason, a letter will be sent to the student-athlete explaining the right to appeal the Athletics Department decision to the Director of Financial Aid & Scholarships within 14 business days.
If you are the recipient of a full or a tuition and fees scholarship, all tuition and course related fees are paid directly to the University before census day (12th day of classes). Fees such as drop/add fees, late registration fees, parking and housing deposits cannot be covered by your athletics scholarship per NCAA rules. Course repeated fees will not be paid by the Athletics Department as well.
If you are a recipient of a full or a book scholarship, course required books will be paid directly to the University Bookstore by the Athletics Department. Your book scholarship will only cover books that are cited as required on the course syllabus. Recommended books or study guides cannot be covered through your athletics book scholarship per NCAA regulations.
Student-athletes will be informed of the dates and times when books will be available for pickup before the first week of school. All books obtained through your athletics scholarship must be returned to the Bookstore during the week of final exams. Student-athletes will be informed before the week of final exams of dates and times for book returns as well. Student-athletes on a book scholarship cannot accept cash for their books and they must inform the Bookstore's staff that they are on an athletics book scholarship. Failure to return your books by the end of the semester will generate a charge of 50%-100% of the cost of each book assessed to your student account.

If you are a recipient of a full or a room scholarship and you are residing on campus, the cost of your room will be paid directly to Miner Village by the Athletics Department. Per NCAA rules, a room scholarship can only cover the cost of housing from the first day of classes until the conclusion of the academic year. The cost of rent for any days prior or following the official academic calendar cannot be paid through your athletics scholarship.
If you are residing off-campus and/or receiving a board or full scholarship your monthly room/board allowance will be sent to you in the form of a check or direct deposit. Your first monthly room/board allowance will be available by the first day of classes and all subsequent allowances should be received by the first business day of each month until the conclusion of your athletics award.

NEED BASED AID
The Office of Student Financial Aid is available to assist students in meeting the cost of a college education with three primary types of need based financial assistance: grants, loans, and the college work study program. Priority is given to undergraduate students with documented need who meet academic eligibility criteria, who are enrolled on a full time basis (12 hours or more), and whose applications are received by the March 15th priority date. Financial aid awards are based on financial need and are operated within existing federal, state and local regulations and policies.

All financial aid applicants are required to submit:
- A Free Application for Federal Student Aid (FAFSA)
- An Institutional Application for Financial Assistance
Both of these forms can be obtained from the Financial Aid Office.
March 15th is the priority date each school year. All completely processed forms and other required documents are due and on file with this office by this date. Late applications will be considered only on the basis of available funds.
OTHER SERVICES
In addition to grants, loans, college work study, and scholarships, the Office of Student Financial Aid provides a number of financially related services to UTEP students. Some of these are:
- Emergency Loans for tuition and books
- The Hazlewood Act for Texas Veterans
- Verification of need and issuance of TASP Fee Waivers
- Financial Need Verification letters for GRE Fee Waivers
- Confirmation of aid for Texas Rehabilitation Commission

ACADEMIC SCHOLARSHIPS

The Office of Scholarships administers all UTEP scholarships for undergraduate students. This includes processing of applications, awarding scholarships in conjunction with faculty committees, and disbursing and renewing undergraduate awards. In addition, this office provides oversight for awards received from external entities and maintains information about these scholarship opportunities.
Students with at least a 90 average in their high school courses or a college GPA of 3.0 or better should apply for university scholarships. Once an undergraduate application has been certified as eligible, it is kept on file and automatically considered for scholarships as long as the student is enrolled full-time in the fall and spring semesters and maintains a 3.0 GPA at UTEP.
Students who need financial assistance should apply for federal and state financial aid programs as well as scholarships, as it is possible to receive both forms of aid. Furthermore, financial need may be an additional criterion for some scholarships.
All graduate scholarship recipients are selected through the Graduate School, located in the Academic Services Building, Room 223. Graduate students who are officially accepted to the university are automatically considered for graduate scholarships. For additional details you may contact Yvonne Lopez at 747-5491.
It is important that students receiving any form of financial assistance keep their address, telephone number, and e-mail current with both the Office of Scholarships and the Graduate School. Your student information may be officially updated at the Records Office.
